Privacy policy

I'm Han, and HanMoof is my shop. To repair your bike, take your booking or ship you a part I need a few of your details. This page explains what I collect, why, how long I keep it and what your rights are. Short version: I only use your data to help you with your bike, I never sell it, and you can always ask me what I have.

What I collect and why

Booking a repair. Your name, email address, phone number, the VanMoof model, the frame number (optional) and your description of the problem, plus the date and time of your drop-off. I use this to plan the repair, to send you a confirmation and a reminder, and to message you about your bike. Legal basis: carrying out our agreement.

Repairs and your bike's history. For every repair I keep the frame number, the model, the work done, the parts used and the invoice. This is your bike's service record: it lets me honour the warranty on parts and see what was done last time. Legal basis: carrying out our agreement and my legitimate interest in keeping proper service records.

Webshop orders. Your name, delivery and invoice address, email address, phone number and what you ordered. Payments are handled by Mollie; I never see your card or bank details. Legal basis: carrying out our agreement.

Contact and course requests. Your name, email address, phone number and your message, so I can reply. Legal basis: my legitimate interest in answering you.

Newsletter. Your email address and name, only if you sign up. Every email has an unsubscribe link. Legal basis: your consent.

WhatsApp. If you message me on WhatsApp, Meta processes that message under its own privacy policy. I use WhatsApp to talk to you about your bike and keep the conversation for as long as the repair record.

Invoices and bookkeeping. Invoices contain your name, address and what you bought. Dutch tax law obliges me to keep them for 7 years. Legal basis: legal obligation.

How long I keep your data

Booking details and repair records: as long as the bike's service history is useful to you and to me, and at least for the warranty period of the parts installed. Invoices: 7 years. Contact and course messages: up to 1 year after I've answered. Newsletter: until you unsubscribe. Webshop account: until you ask me to delete it.

Who else sees your data

Only the companies I need to run the shop, and only for that purpose:

  • Odoo S.A. – the software behind this website, the bookings, the repair records and the invoices. Hosted in the European Union.
  • Mollie B.V. – payments in the webshop (iDEAL, cards and similar).
  • Google – my email and agenda: appointments are synced to my Google Calendar, and the map on the contact page is loaded from Google Maps once you accept cookies.
  • Meta (WhatsApp) – if you message me on WhatsApp.
  • PostNL or another carrier – your name and address, to deliver a webshop order.
  • My accountant – for the bookkeeping.

I don't sell your data and I don't share it with anyone else, unless the law requires it.

Cookies

This website uses functional cookies that are needed to make it work: your session, your shopping cart, your language and the cookie choice itself. These don't need your permission. The map on the contact page is loaded from Google and can set Google cookies; it only loads after you accept optional cookies in the cookie bar. I don't use advertising or tracking cookies.

Security

The website runs over a secure connection (https). Your data is stored in Odoo, which only I and my mechanic can access, each with our own login.

Your rights

You can ask me at any time to see the data I have about you, to correct it, to delete it, to limit what I do with it, to send it to you in a usable file, or to object to how I use it. If you gave consent (for example for the newsletter) you can withdraw it whenever you like. Just email han@hanmoof.com and I'll sort it out within a month. If you're not happy with how I handle your data, you can complain to the Dutch Data Protection Authority: autoriteitpersoonsgegevens.nl.

Changes

If I change how I handle your data, I'll update this page and the date at the top.
